Travel Grants

Thanks to generous support from the National Science Foundation (NSF) and from HOPOS, a number of travel grants will be available for graduate students, recent PhDs, and independent scholars who are participating in HOPOS 2020.

Eligibility and Requirements

  • To be eligible to apply for a travel grant, a person must be a graduate student, recent PhD, or independent scholar who has had a contributed paper, symposium paper, or poster accepted for the congress program.  (For HOPOS 2020, "recent PhDs" are those who earned their PhDs on or after 15 July 2015.)
  • Travel grants can be used to cover congress registration fees as well as travel to and from the congress venue. (For those traveling by air, this includes ground transportation to and from the airport.)  The grants cannot be used to cover hotel expenses, travel during the meeting, or HOPOS membership dues.
  • The maximum award amounts are $750 for domestic travel and $1000 for international travel.  (Specific award amounts may be less than these maximums and will depend on the number of applicants and the total funding requested.)
  • Travel grants will be issued as a reimbursement after the meeting, and grantees will be required to complete a reimbursement form and provide receipts for all expenses within roughly 10 days of the end date of the conference. (The specific deadline for submitting the reimbursement form and receipts will be published in early 2020.)
  • Airfare can be reimbursed only if the applicant's airline receipt includes the applicant's name, airline, and proof of purchase.
  • Additionally, applicants who are U.S. citizens or are working for a U.S.-based institution can have their airfare reimbursed only if the flight is booked either on a US-flag airline or on an airline that has a code-sharing arrangement with a U.S.-flag air carrier (if service provided by such a carrier is available). In other words, if a flight is booked on non-USA-based carrier, it must be a flight that can also be found listed as a flight under a number designated Alaska Airlines [AS], American Airlines [AA], Delta Airlines [DL], Frontier Airlines [F9], Hawaiian Airlines [HA], Southwest Airlines [WN], Spirit Airlines [NK], or United Airlines [UA]).
  • Graduate student applicants will be required to provide proof of student status.
  • All amounts listed on travel grant paperwork must be in United States Dollars (USD). Foreign currencies should be exchanged according to the Wall Street Journal (WSJ) conversion rate on the day of purchase. (Use of the Oanda online currency converter is also permitted.)

Procedure

  • Shortly after acceptance to the conference, eligible members will receive an email from with instructions on how to apply for travel grants.
  • The deadline for response to this email will be February 14, 2020. Results will be sent out by April 15, 2020.
